What methods of payment do you accept?

Our primary means of payment is either credit card via Pay Pal or district PO. We use Pay Pal as our online merchant, however you do not need to have a Pay Pal account to purchase our software through Pay Pal. You just a valid credit card and when it asks you to log on you will see on the left side of the screen an option to pay by credit card. If you wish to pay with a PO (Purchase Order), just send us an e-mail as to what you would like to purchase and we will send you an invoice that can be used to start the PO process.

If I order with a PO, how long does it take to get our software and scanners?

To get your software, please fax, mail or email us a copy of your PO. Once we have received a copy of your PO, we process your order and typically ship out any products the next business day. If you need to run the software ASAP, please let us know and we will send you a temporary registration code which will put your software into PO mode. PO mode will allow you to run the software for 45 days with full functionality. Once we have received your payment in full we will send you a new permanent registration code for your software.

How is an annual service contract?

We recommend that you purchase the annual service contract when buying our software. The annual service contract gives users free technical support, free software upgrades and discounts on other products and services for one year. Service contracts are not mandatory but highly recommended.

What is your refund / return policy?

Our software is available to demo for free. In the demo mode you have 30 days to try out the software to see if it fits into your schools needs. Please test the software prior to purchasing it to avoid the potential need of requesting a refund. There are several steps that we need to take prior to issuing a refund.

1. The first step is to either call us or send us an email describing how you intended to use the software and a description of how you sell tickets and handle admissions. Also please include what you needed the software to do in order to meet your needs. There are many different options and settings available to users and we want to be sure you are using the correct settings for your situation.

2. If, after the first step, you find that our software does meet your requirements, you could help us by suggesting improvements. If our company decides that your ideas would benefit many of our current users, and potential new users, we will then add the functionality to our application. You can add a suggestion here.

3. If we find that your request is specific to your school and our company decides not to add your suggestion to our application, you could request custom enhancements. In many cases we can customize the software to meet your individual needs. There may be additional costs for custom design work which are determined based on the time and complexity of the project.

4. If the solutions above still don't meet your needs you can you can then request a refund. We offer a full money back refund on software and maintenance packages within 30 days of purchase. To request a refund please follow the steps below:<

Send a written request by mail or email to Software 4 Schools. Please include your name phone number and school name.

You must unregister all licenses from all of the computers that the software was installed on. You can unregister Ticketing 4 Schools software by opening up the application, and in the Help menu select Unregister Software. Please be sure you are connected to the internet when unregistering the software.

Hardware such as scanners and printers must be returned to us within 25 days to qualify for a refund. All cables, manuals and packaging must be included. There may be a restocking fee depending on the product or circumstances. There will be an additional charge on opened packages if we find damage, or missing manuals, accessories or cables, etc.

All refunds can take up to 30 days for processing from the date that all software has been uninstalled and hardware returned.

Ticketing 4 Schools

System Requirements

This is a PC based application. Any computer running Windows XP and newer with a USB port should work fine.

What kind of scanners can I use?

You can use any serial, USB or Bluetooth barcode scanner. We have tested all of the scanners that we offer on our site and they are all compatible with our software.

What operating systems are compatible with the software?

Version 2.4- 3.1 is supported on Window 2000, XP and Vista and Windows 7 however we currently do not support Macintosh OS. Ticketing 4 Schools is a smaller program that will work even on a very basic computer. Note to Windows Vista users: When running the program for the first time, you have to find the .exe file and select Run as Administrator. There are instructions on how to do this in the general help section.

Do I need a laptop computer?

You don't need to have a laptop, but it is much more convenient. If you sell tickets out of a student store or a classroom and have a stationary computer that will work. As for checking students into an event like a school dance, you are going to want to have the computer at the entrance. If you cannot use a laptop, try putting a computer on a rolling cart.

Does the software allow me to use ASB stickers or Activity cards?

YES. When you create a new event in the software program, one of the options is to set different price structures. You can set one price for a regular student and a different price or free for your students with an ASB or Activity Sticker. In the student management section, you can set a student type for each student so when they buy a ticket, the student type will automatically determine the price for that student.

Does our student ID cards need to have a barcode?

In short YES. Technically there is a space where you could type in ID numbers, but it would take some time to do that for every student. There are other software programs that can create barcode labels which could stick on student ID cards and then the system would work for your school. You can also use Microsoft Word or Excel and create labels. If you import all of your student ID numbers and each one is on its own label, you can change the font to a barcode font and then print out your labels and attach them to your ID cards. The barcode font can be downloaded from our website.

What if a student loses their ID card?

The Ticketing 4 Schools software has a place where you can enter in a student ID number instead of scanning a barcode from an ID card. You can also import pictures into the software to help with verification of students.

Can I import a list of student names?

Yes. The Ticketing 4 Schools software has an import feature which we recommend you use. You do have to produce a list of names in a CSV format. Most student management systems can do this. The items you need to import are First, Last, ID Number & Grade.

How do I import students into the software program?

To import students into the software program you will have to work with your office staff or district office. First you will need a .csv (coma separated value). School districts use a wide variety of student management systems so we don't have specific instructions on how to export that list from your school. At most schools the counselors, administrators or secretaries know how to do this. After you have the .csv or .xls document, you will need to open the data in Microsoft Excel. In here you will format the data so you just end up with the student first name, student last name, id number and grade level. Next you save the file as a .csv file by going to save as and change the extension to .csv. Then open up the Ticketing software and go to admin / upload students. Click "Locate my data", then set the appropriate fields and click "Upload Students" Then check your student management table to see if everything went in successfully. If you are unsuccessful and need some assistance, please email us the file and we can format it for you.

Do I have to import student names into the system?

No. The Ticketing 4 Schools software can be used as a stand alone system without having to import a list of students however we highly recommend that you at least import once at the beginning of the year. As new students come and purchase tickets, the system will prompt you to add them if not found in the system.

Can I print reports?

Yes of course. There are several types of reports that can be printed. There is a ticket sales report, which shows the ticket number that each student purchased. This report is great of auditing purposes. You can also print a sales total, which is broken down per each day of ticket sales. There are a few other basic report as well that will allow you to analyze your data and ticket sales.

What if a student does not have permission to go to an event?

In the student management section you can set permissions for each individual student. Students might not be able to attend an event because of academic probation, discipline issues or a parent might request they don't attend such events.

Can I record a refund if a student cannot attend an event?

Yes. The Ticketing 4 Schools software has a refund section where you can select an individual and the event to assign a refund for. Just go to the attendees screen, highlight the student and click the refund button. Refunds can only be given if a student has not checked-in.

Can the Ticketing 4 Schools software sell tickets online?

Currently, our software does not allow for this. We do have future plans for developing a method for users to be able to sell tickets online and import their ticket sales into our software.

How do I register the software?

The registration process is fairly simple. Just type in your registration code you received from us and and make sure the computer is connected to the internet. Then startup the program and type or copy and paste the registration code in the startup window and click register. If you have issues connecting the program to the internet, check to see if you have a firewall blocking the software and set it to allow access to the internet.

How many times can I install the software?

You can install the software on 3 computers for the school site that it was purchased for. You may not give, trade or sell the software to any other school or advisor. If you need to install the software on more then 3 computers, please contact us for a discounted rate on an extended license. You can also transfer a license from one computer to another through he un-register button in the help menu.

Does this software include a check out feature?

The ticketing software has 4 different settings on how it handles tickets. One of the settings is an in and out option where you can track how much time someone has spent in an event. This settings works well for a computer lab or study hall situation where you want to track how much time a students spends in the lab.

Is the printing feature customizable?

We have printable reports and we have printable tickets. With the reports, we have many different types that should meet most if not all of your needs. As for the tickets, the are not customizable at this time. The tickets are printed on a receipt paper not paper tickets like you would get at a ball game. We also offer custom work if the program is almost what you need, but you need some slight modifications.

Can two barcode scanners be connected to the same laptop to handle two entrances using the same database?

Technically, yes however we don't recommend it. When you are using 2 scanners on the same computer, if one scanner scans a ticket and another scans another ticket immediately after, you might miss a message on the screen. We recommend that you connect two computers together and each computer has its on scanner (see next question).

Can I connect two computers together and share the same database?

Absolutely. The software is designed so you can share the database over a network. You can then have 2 or more computers connected together all sharing the same database. There are two ways to accomplish this. You can either create a network using a router or a peer to peer network using a crossover cable. What if my Student ID numbers are different then the numbers on our Student ID cards?

If your Student ID numbers are completely different numbers then your Student ID cards then you will have to find a way to import the list of students from the list that was used to generate your student ID cards. If your Student ID numbers are similar (example: 123456 and 00123456) to your ID cards but missing a common letter, number or set of letters and numbers, you can modify your Student ID numbers using Excel. On Windows Vista or Windows 7 I get this error. "Application attempted to perform an operation not allowed by the security policy. To grant this application the required permission, contact your system administrator"

The error message will happen in both Windows Vista and Windows 7 and is due to the security policy. To fix the problem, you need to tell the Windows to run the software as an Administrator. To do this you have to first locate the .exe file. If you used the default location you will find it in C drive / Program Files or sometimes in Program Files (x86) / Software 4 Schools / Tickets. Then find the file titled Ticketing 4 Schools.exe. Right click the .exe file and select Run as administrator. You should only have to use this method for the first time and then the program will always run as an administrator.

Can I sell tickets in Blue Bear and then scan ID cards at the door using your software?

Yes, if you want to sell tickets using Blue Bear, you will need to export a list of student ID numbers that bought tickets and then import those numbers into our software. Click here for instructions.

Discipline 4 Schools

System Requirements

Voting 4 Schools

The application is 100% web based and can be used on PC, Mac and Portable Devices. We also have an app for iPhone, iPad and Android devices.

How Many (Voters, Elections, User Accounts, and Sites)?

A regular software licenses is good for an unlimited number of students, elections and user accounts on a single campus or location. License may not be used at the District level for multiple schools without written consent from Software 4 Schools. Please e-mail us if you wish to see a copy of the EULA prior to purchase.

Do I have to install anything on my personal computer?

No, this is a web based program and everything is online. You only need to have internet access and a web browser.

How do I setup an election?

The steps you need to take are all in order from top to bottom in the admin control panel. First you need to create positions that your candidates are running for (example: President, Vice President and so on). Then create an election where you will have a title of the election, a start and end date of when people can vote. The third and final step is to add candidates to an election. Select a position they are running for and type in the candidates name and click submit. Then go through that process for everyone who is running for a position and you are ready to vote.

How can I stop kids from cheating the system?

This is always a concern from our clients and the depth of the security is up to you. To hold a campus election in the most secure manner, we suggest that you open up a computer lab and have students go into the lab to vote. When they come in, you can check their id or give them a password that they are unaware of at that time. In our experience this will create the most security. You also don't have to let the kids know where the website location is so they have to go to the computer lab to vote. If you want to put a link on your schools website you open up the opportunity for students to use other students ID numbers and vote for them. The next best thing you can do is give them passwords that are not easily remembered. Either a random assigning of letters and numbers or some combination of student id, last name, birthday, SS# or any other data that you have on your system to make a complex password.

How can I show the results to the public?

We have created a special page called results.php, which is a public page that does not need a password to access. There are no links to this page as some of our clients wish not to use this and others wish to use this option. When you are creating an election, you have an option that says "Visible: Yes or No". If you make the election visible, the results will be displayed on the results.php page. If you choose no on this option, they will not be shown.

How do I customize the program?

In the admin control panel, there is a button on the bottom that says system values. This will allow you to place custom messages in the program, display your school name and let the user know what to use for their user name and passwords.

Do we have to install anything?

No, this is a web based program that we host on our servers. All upgrades are done automatically. We also backup your data on a nightly basis.

How do I create elections based on grade level?

We have created a word document that you can Download which has instructions on how to do this.

Do I always have to use a password to access the program?

Since this program does not need a high level of security we have made it so only the initial page and the control panel needs a password. Once you are in the program, you can bookmark any page in the application and just go directly in without having to use a password every time.

Student Store 4 Schools

System Requirements

The application is web based and can be used on both PC and Mac. To use a barcode scanner, printer or cash drawer computer must have a USB port. Tablets are not supported at this time however you can use the software without the external devices on most tablets. Older computers running Windows XP might experience some slowness. Computer must have JAVA installed in order to work with receipt printer and cash drawer

How Many (Students, Users and Sites)?

A regular software licenses is good for an unlimited number of students and user accounts on a single campus or location. What happens if the internet goes down?

We have created a unique backup system that will allow you to continue to log your sales if the internet goes down. To prepare for internet outages, you will need to download the Excel file from within the program. This file will be uploaded when the internet service is returned. You also need to print out a scan sheet of your products and the internet failure document. This process will ensure that your inventory and sales totals remain accurate at all times.

What can you sell with this software?

You can sell just about anything with our software. The software can be used for smaller type events like tracking sales during registration, bake sales, food sales at a sporting event or the tracking of inventory and sales from the main office. Of course it was designed and also used to manage the sales and inventory of an entire student store.

What kind of computer do I need?

This is a web based application and it does not matter if you on a PC or a Mac. As long as you have internet access and a web browser you can use this application.

Do students need an ID card?

No you do not have to use ID cards

Can parents put money on an account for their students?

Yes, you have the option to use student credit accounts. If you choose to use the credit accounts, you can put money on an account and then when a student makes a purchase it will deduct from that amount.

Does the application print receipts?

Yes, you can print receipts using a compatible receipt printer which we do sell. Also if you have a parent or student e-mail address, you can email receipts home on completion of purchase.

Does the software track inventory?

Yes, there are two ways of setting up a product. You can either have a product with a limitless amount of stock or you can set it up to track inventory. When tracking inventory, the sales screen product buttons will display the number of stock you have for each product and when you run out of stock the button will become disabled so you can no longer sell anymore of that product. There are also lots of different types of inventory reports as well.

This application was initially designed as an after school retention program. The basic concept is to retain students when they don't do their classwork or homework. It also gives teachers an opportunity to reteach students who don't understand a concept.

How do we notify parents if we are keeping students after school?

The application is designed to automatically notify parents by e-mail when their child is scanned in using the application. It will also send a follow up e-mail with the status of their assignment at the end of the day.

Yes, an admin has the ability to set the maximum amount of characters that an announcement may be.

Yes, we have a special page that has scrolling announcements that will continue to run all day long.

Can I send the announcments to my staff?

Yes, you can send announcements to your staff from within the application. You can even send custom messages, special events and if you enter staff birthdays, it will also automatically list all of the birthdays for the current month.

What if my products don't have barcodes?

Our software has several ways of tracking products. Products can either be numbered each having a unique barcode or they can all have the same barcode. The advantage of having a unique barcode is that that you can track damages as well. Our software can also generate barcodes that can be printed out on Avery labels.

Can I track damages to a book?

Yes, you can track damages and fines with our software.
